Episode 4: Getting the Project Manager onboard

In episode 4 of our 5-Part series we asked Brent how he’s incorporating the project manager into the process so that the above walkthroughs from site can be clearly documented back to the office and vice versa.

Remember, all of Brent's processes are executed from interstate.

His physical connection to the project is handled by the on-site project manager. 

Repeatable workflows using Takeoff Templates

The goal here is to create templates that provide a simple process for the on-site manager to follow. 

It reduces stress and enables the project to flow more easily for everyone.

In an upcoming meeting, he’ll show the project manager how to create the Stage based on the Takeoff Templates, with a date, specifically for that project on that day. 

When a walkthrough is required, the stage can simply be created using that existing structure.

“I’ll show him how to import a takeoff template. New stage, call it walkthrough date, apply template and a walkthrough legend.”

By using Groundplan, Brent can build a process to keep site information capture as simple as possible. 

Standardised communication

Because the same legends, colours and documentation standards are used across projects, project managers and installers know what they’re looking at as soon as they open a plan.

There is less time spent interpreting information and more time spent acting on it. The workflow becomes familiar.

That familiarity reduces mistakes and improves communication throughout the business.

Creating a system others can follow

Perhaps the most valuable part of Brent’s approach is that it doesn’t rely entirely on him.

The process can be taught.

Templates can be reused.

New team members can be trained.

“I’ve already preset everything for him.”

That’s a significant advantage for growing businesses.

Instead of relying on tribal knowledge, the workflow becomes embedded within the system itself.

And when everyone follows the same process, project information becomes easier to understand and more trustworthy.
