Episode 3: Documentation for the builder

In the first two parts of this series, Brent Drew from Modern Vision Electrical showed how he uses Groundplan to organise projects and manage client changes.

In this episode, Brent walks us through the process for tracking changes on site and how it benefits all future trades.

Documenting more than quantities

The benefit of centering your project management based on plans is that it becomes more than just cost estimation. It becomes a central point of truth for documenting As-Builds on site.

Conduit routes are measured and labelled.

Lighting layouts are refined.

Installation notes are added.

“If we ever got to come back and do any work, we can show the client this and go, well, this is where we put our conduits.”

The result is a living document that continues providing value long after the estimate is complete.

Creating a record of what’s been installed

As the project prepares to begin construction, Brent shares how clear annotations and features, such as Length Labelling, help the on-site team to understand exactly what’s required. Underground conduit runs is one example.

Brent uses Length Labelling, so the people on site can easily reference exactly what type of conduit should be installed and where it should be installed. That location can also be referenced for future developments. 

“They can easily see it’s a 14 metre run, so they know they’re going to need 5 lengths of conduit without thinking about it.

This plan is provided to the builder once the work is done. That’s valuable not only for electricians, but also for builders, landscapers and future maintenance teams who may need to understand what lies beneath a finished surface.

The speed of Count Assist 

Side note: Brent also has Count Assist enabled. 

Accuracy and clear documentation are not the end of the story here. The efficiencies gained when quantifying materials are no more evident than when you’re using Count Assist.

“On some of the plans, I selected one downlight and then it counted 70 downlights in one hit.”

Long-term value

When the project is finished, Brent returns the completed plans to the builders and retains them for future reference.

“If they ever need work done down the track, we can refer back to it.”

The estimate has now become something much more valuable: a long-term project record that helps everyone involved make informed decisions.
